More time for your guests. Fewer repetitive questions.

Your front desk answers the same questions — hundreds of times every week.

A digital assistant that takes over your guests’ questions — live in days, with no new software and no changes to your systems.

There is a system that handles these questions for your team — around the clock, in over 30 languages, using only your hotel’s verified information. Because a guest who waits and isn’t understood doesn’t complain at the front desk — they complain on Booking and Google.

The demo is a fully working system, built for a demonstration hotel modelled on a real property in Sveti Vlas. Ask it anything you like — in any language you like.

This is what your front desk hears every day:
🇧🇬Кога е закуската? 🇬🇧Is the water park far from here? 🇩🇪Haben Sie einen Parkplatz? 🇵🇱Czy mogę zapłacić kartą? 🇫🇷Le petit-déjeuner est inclus ? 🇬🇧Can we do a late checkout? 🇩🇰Hvor langt er der til stranden? 🇬🇧We land at 00:45 — is late check-in possible? 🇬🇧My child has a fever — is there a late-night pharmacy? · 02:14
The problem everyone accepts as normal

These questions aren’t a minor chore. They are a hidden cost.

While the receptionist explains where the parking is for the tenth time, a guest is waiting in line, the phone is ringing, and the late-arrivals transfer is 40 minutes away. At night it is even simpler: nobody answers.

Hour after hour
A significant part of every shift goes into the same answers — while the real work with guests waits.
02:14
One guest is looking for a late-night pharmacy. Another arrives on a night flight and doesn’t know how to get in. Urgent questions come exactly when there is nobody to answer.
Missed revenue
Late check-outs, early check-ins, excursions — services nobody offers while the front desk is putting out fires.
Sample calculation
What one month can look like
Paid staff time spent on repetitive questions≈ 480 €
5 late check-outs never offered × 65 €325 €
3 early check-ins never offered × 45 €135 €
Quietly leaking away every month≈ 940 €

The numbers here are only an illustration. At the free assessment we calculate them together — with your rates, your volume and your season. We argue with your numbers, not ours.

The difference in one sentence
Before
☎️
  • “Where is the parking?”
  • “What time is breakfast?”
  • “How do we get to Nessebar?”
  • “Are any beach umbrellas free?”

…while a guest with a real problem waits in line.

The guest asks the system.
The front desk takes care of people.

Questions get answered in seconds — in the guest’s own language. Your team gets back what matters most: time and calm.

What weighs the most

The most expensive question is the one that went unanswered.

Illustrative example
★★★★★
„Niemand an der Rezeption konnte uns auf Deutsch helfen. Für eine einfache Frage haben wir 20 Minuten gewartet. Schade — das Hotel selbst ist schön."
Translation: “Nobody at the front desk could help us in German. We waited 20 minutes for one simple question. A pity — the hotel itself is lovely.”
A family from Germany · Booking.com · July

The guest doesn’t write “the front desk was busy”. They write “poor service” — in their own language, in front of thousands of future guests, forever. And notice: they liked the hotel. What drags the score down isn’t the beds — it’s the feeling that nobody understands you.

The Booking and Google score drops
The hotel slides down the search results
Fewer bookings — or the same bookings at a lower rate
What the system changes The guest gets an answer immediately, in their own language — the irritation disappears before it is born. And when a guest is unhappy, the system doesn’t argue: it directs them to your team while the problem can still be solved on the spot — not in a review.
What it looks like in practice

A system that knows your hotel. And only your hotel.

The guest scans a QR code — at reception, in the room, on a card — and asks whatever they need. They get an answer in their own language, in seconds, at any time.

The answers come from a knowledge base built personally with your team: prices, hours, services, distances, contacts. Not from the internet. Not by guesswork.

And when it fits, the system suggests a late check-out or an excursion — naturally, in the context of the question. Extra revenue, without a single pushy message.

GuestWe’d like to do something with the kids tomorrow — what do you suggest?
AssistantOf course! 😊 For a family with children, the best options are the Captain Jack pirate ship — a family cruise with entertainment and a water slide — or Aqua Park Action in Sunny Beach. Bookings at reception, ideally a day in advance.
Guest · 02:14My child has a fever — is there a late-night pharmacy?
AssistantSo sorry to hear that — I hope the little patient feels better soon! The nearest late-night pharmacy is open until 04:00 and is a 5-minute walk away. If you need a doctor: Viva Clinic, open 24/7. 🙏

Who it’s for

A good fit for

Nina — Hotel Asistent

Who is behind the system

My name is Nina. Behind me are years in the tourism industry — from serving passengers at Gatwick Airport, London, to working every day with international guests in hotels on the Black Sea coast. I know hotel operations from the inside: what guests ask, where the team’s time goes, and which services go unsold.

Today I combine that experience with the latest technology to build automated guest service systems. Every system goes through an operations audit, data verification with your team, and testing across dozens of scenarios before the first guest ever opens it. I work on location, on Bulgaria’s Black Sea coast — and I personally stand behind the results.

You stay in control

Why hoteliers can trust it

1

Only your verified information

The system answers only from the hotel’s knowledge base — approved by you, line by line.

2

Never invents prices or conditions

If the information isn’t in the base, the system says so openly and directs the guest to reception.

3

Works around the clock

Night arrivals, early departures, urgent questions at 2 a.m. — there is always an answer.

4

Speaks the guest’s language

Over 30 languages — from English and German to Danish, Polish and Hebrew. Without a single additional employee.

5

Knows where its limits are

Uncertain and sensitive cases go to your team. A human always has the final word.

And just as important — what the system does NOT do

  • It doesn’t invent information
  • It doesn’t change bookings
  • It doesn’t take payments
  • It doesn’t replace your receptionists

✓ It frees up their time — for the work you hired them to do.

A clear deal

Exactly what you get

Everything goes live in days, not months — no new software for your team, no changes to the systems you already use.

How we work together

From the first conversation to a working system — in days, not months.

Step 1

Audit

I sit down with your team and we measure where front-desk time goes and which sales are being missed — using your numbers.

Step 2

Knowledge base

I collect and organise all of the hotel’s information: services, prices, hours, the local area. Everything verified with you.

Step 3

Launch

The system goes live with QR codes for reception and the rooms. It handles over 30 languages — and is tested before the first guest ever sees it.

Step 4

Support

Prices and excursions change — so does the knowledge base. I keep it up to date, and you get a report on what your guests are asking.

Frequently asked questions

How long does implementation take?
Usually a few working days — the audit and information gathering are the biggest part. The hotel doesn’t stop for a minute, and your team doesn’t have to learn any new software.
Do we need a new website or a new system?
No. The assistant works through a QR code and a link — the guest opens it directly in their phone’s browser. If you wish, we can also add it to your current website with a few lines of code, without changing anything else.
Does it work on the guest’s phone?
Yes — that is exactly where it is designed to work. No app to install: scan the QR code and the conversation begins.
How many languages does it answer in?
Over 30 — the guest writes in their own language and gets the answer in it. The Vista Blu demonstration system has been tested with conversations from English and German to Danish, Polish, Greek and Hebrew.
What happens when the hotel changes prices or services?
You send me the change — I update the knowledge base and verify the answers. This is part of the monthly support, not an extra service.
Who is responsible for the accuracy of the information?
The knowledge base is built only from information confirmed by your team, and you approve it before launch. The system cannot say anything you have not confirmed — and when it doesn’t know, it admits it and directs the guest to reception.
How much does it cost?
It depends on the size of the hotel and the scope of services. That is why we start with a free assessment: together we calculate what the problem costs you today, and you receive an exact offer — before you have committed to anything. My rule is simple: the system must return more than it costs.
The next step costs nothing

Free assessment. Then a 2-week pilot.
You decide with the numbers in front of you.

First we sit down for 30 minutes and calculate what repetitive questions cost you today. Then we place the QR code at your reception for two weeks — and we look at the results together: how many questions the system handled, in which languages, what it offered your guests. If the numbers don’t convince you — we part ways and you owe nothing.
